Purpose
This policy outlines how appointments will be managed during periods of snow, icy conditions, or freezing temperatures, to prioritise the safety of clients, counsellors, and staff while maintaining continuity of care where possible.
Scope
This policy applies to all counselling appointments delivered through the CIC at The Meridian Centre, including sessions provided by staff, trainees, and volunteers.
Adverse Weather Conditions
Adverse weather conditions include:
- Snowfall
- Temperatures at or below 0°C, where there is a risk of ice
- Conditions that make travel unsafe or significantly difficult
Appointment Arrangements During Snow or Ice
Alternative Appointment Options:
When snow or icy conditions occur, appointments will be offered by telephone or online where possible.
Counsellor Responsibilities:
If a counsellor is unable to attend The Meridian Centre due to adverse weather, they must contact their clients directly to inform them they will not be attending in person, and offer a telephone or online appointment as an alternative.
Client Responsibilities:
Clients who wish to request a telephone or online appointment due to snow or icy conditions must email both the admin team at admin@meridiancentre.co.uk and their counsellor by email as soon as possible.
Cancellations and Charges
If a client that usually has in person appointments, chooses not to proceed with a telephone or online appointment during periods of snow, freezing temperatures (0°C or below), where there is a risk of ice, no cancellation fee will be charged for the cancelled appointment.
Safety First
The CIC prioritises safety over attendance. Clients and counsellors are encouraged to make decisions based on personal safety and local travel conditions.
